Checklist for New Warriors
Welcome to the ICS family! Below are some documents and a timeline that we hope will be a helpful guide as you get ready to start school.
Month-by-Month Checklist
April
- Review the Important Dates Calendar
- Get your Warrior Spirit Wear from BSN!
- Rising Grades K – 2: Register for a summer visiting day
- Rising Grades K – 6: Register for VBS at Immanuel Bible Church!
- Rising Grades 1 – 6: Order an optional summer academic workbook.
- Rising Grades 5 – 8: Confirm math placement assessment with admissions office; details are sent via email.
- Rising Grades 7 – 12 Girls: Audition for the Varsity Dance Team. Email jennifer.baxter@icsva.org to attend a Dance Clinic.
May
- Review uniform list and order uniforms via Lands’ End or Tommy Hilfiger. You can also visit campus to peruse used uniforms.
- Rising Grades K – 2: Register for a summer visiting day
- Rising Grades K – 6: Register for VBS at Immanuel Bible Church!
- Rising Grades 5 – 8: Confirm math placement assessment with admissions office; details are sent via email.
- Rising Grades 9 – 12: Attend Warrior Welcome on May 29, 12:00 p.m. Look for an email with details and RSVP information.
June
- Create your FACTS Family Portal account. The school code is ICS-VA. Invitations are sent via email.
- Accept your invite to join ParentSquare, our school-wide communication platform. Invitations are sent via email.
- Pick up your summer reading books on campus. Required summer reading begins in rising second grade.
- Rising Grades K – 2: Register for a summer visiting day
- Rising Grades 2 – 12: You will hear from an ICS family (your buddy, ambassador, or Warrior Wingman) to welcome you!
- Rising Grades 9 – 12: Look for a ParentSquare post with details for the fall athletic season, including August tryouts and summer open gym dates. (Middle school athletics will begin after the school year begins.)
- Rising Grades 9 – 12: Students may begin accruing service hours for the upcoming academic year. Details will be provided at Warrior Welcome or posted on Parent Square in June.
K-8 summer office hours are T-TH, 9:00 a.m. – 3:00 p.m.
HS summer office hours are by appointment: email hub@icsva.org.
July
- Complete required online back-to-school forms before the August 1 deadline. Forms are in Magnus Health; links will be sent via ParentSquare.
- Review uniform list and order uniforms via Lands’ End or Tommy Hilfiger. You can also visit campus to peruse used uniforms.
- Purchase school supplies.
- Pick up your summer reading books on campus. Required summer reading begins in rising second grade.
- Download the ICS App! Search “Immanuel Christian School” on the App Store or Google Play

The office is closed the week of June 30.
August
- All forms are due by August 1 to receive class placement information later in the month.
- Rising Grades K-8: Accept your invite for the SchoolPass app, our carpool system. Invitations are sent via email.
- Rising Grades 9-12: Current passports must be uploaded to Magnus by August 1st. Expiration date must be after July 1, 2026 to be current.
- Attend HS Meet Up on August 14 at 7:00 p.m. for rising grades 9 – 12.
- Attend K-8 Meet and Greet Open House on August 18, 3:30 – 6:30 p.m. for rising grades K – 8. Sign up for a classroom visit time via ParentSquare.
- Athletic Tryouts* ** for varsity fall sports take place in early to mid-August. See ParentSquare for dates and details.
- Purchase school supplies
Summer K-8 office hours are T-TH, 9:00 a.m. – 3:00 p.m. until August 8.
Starting August 11, the K-8 office is open 7:30 a.m. – 3:45 p.m.; starting August 18, the HS office opens 7:30 a.m. – 3:45 p.m.
*A VHSL Sports Physical is required for any 6th -12th grade student wanting to try out for a school sport. This can be completed anytime after May 1 for the upcoming school year. Page 3 requires an examination from a healthcare professional (MD, DO, NP, PA).
**Middle School athletics begin after school starts.
First Day of School!
- HS First Day: Tuesday, August 19 Early dismissal

Apps and Accounts You Need
We use several different applications to facilitate communication and connect you to school resources. All of these are conveniently available on our school app!

- FACTS: Pay tuition
- FACTS Family Portal: Grades 5-12 can view student grades and assignments. New families receive an invite in June.
- Magnus Health: Receive nurse visit notification, update your child’s health records as needed, access back-to-school forms. New families receive an invite in June.
- ParentSquare: School-wide communications and calendars, record your parent engagement hours. New families receive an invite in June.
- SchoolPass: K-8 carpool dismissal app. New families receive an invite in August.
- Vidigami: Photos from classrooms, field trips, and events. New families receive an invite in August/September.
- My Hot Lunchbox: Lunch ordering service. Orders can be placed starting in August.
- x2VOL (Grades 9-12): Record student volunteer hours. You can create an account once you have your ICSVA student email address.

FAQs
Do you offer any camps or classes during the summer?
Here are the summer athletics camps we are offering in 2025:
- Basketball Camp: June 9 – 13. Rising grades 4-9 are invited to join us for a week of skill-building with Dr. Pinkley!
- Girls Soccer Camp: June 16-19. Girls in rising grades 4-8 are invited to join our varsity soccer coaches to work on the fundamentals of passing, dribbling, and shooting.
- Boys Soccer Camp: July 14 – 17. Boys in rising grades 4-8 are invited to join our varsity soccer coaches to work on the fundamentals of passing, dribbling, and shooting.
- Girls Volleyball Camp: August 13 – 15. Girls in rising grades 4-8 are invited to join our volleyball coaches to work on the fundamentals of passing, serving, setting, and hitting.
Grades K-6 can join Immanuel Bible Church for VBS in June. Click here for details.
When will I find out class placement or schedule?
K-8: If you submit back-to-school forms by August 1, you will receive your child’s class placement within the first week of August. Class placements are not sent until forms are completed.
HS: If you submit back-to-school forms by August 1, you will receive your finalized schedule at the High School Meet Up, which takes place the week before school starts.
Where do I order uniforms?
View the uniform list to see what is needed for your child’s grade. You can order from Lands End or Tommy Hilfiger. Used uniforms are also available on the K-8 campus.
Please note that kindergarten students do not wear uniforms.
Where can I find the school calendar?
ParentSquare has the most up-to-date calendars for K-8, the high school, and our athletics program! Email invitations to join ParentSquare are sent in June.
What's the best way to get to know other families?
Rising Grades K – 2. Attend a summer visiting day! You’ll get to play with other classmates and meet your teachers. Click here to register.
Rising grades 2-8: This is an opportunity to get to know another family in your student’s grade throughout the summer. You will hear from your family in June and July.
Rising grades 9 – 12: A high school student will welcome you as you join our community! You will hear from him or her in June and July.
A school directory will be available on ParentSquare to help coordinate carpools and connect with other families near you. You can also use our Community Boards on ParentSquare!
What school supplies do I need?
How do I earn and record Parent Engagement hours?
There are many opportunities to earn Parent Engagement hours! You can chaperone a field trip, assist in the classroom, attend a special evening event, compile classroom resources or project materials, volunteer at our Back to School Picnic, join us for Parents in Prayer, and more.
You can also join Parents In Partnership as a classroom parent for the school year. Contact jennifer.baxter@icsva.org for more information.
Your hours can be recorded via ParentSquare under the “Volunteer Hours” section. K-8 families are asked to contribute 20 service hours each year; HS families contribute 10 hours each year.
